Application Document Checklist

This checklist covers all required documents, fees, and information needed for international school applications in Bangkok. For timeline and action steps, see the Action Plan.
Required Documents (All Schools)
Student Documents
- Birth Certificate (original + certified copy)
- Passport (valid, with photocopies of all pages)
- Passport Photos (4-6 recent photos, 2x2 inches)
- Immunization Records (with official vaccination history)
- Health Certificate (from licensed physician, recent)
Academic Records
- Grade 7 Transcripts (official, sealed if possible)
- Grade 8 Transcripts (official, sealed if possible)
- Grade 9 Transcripts (current year, most recent available)
- School Leaving Certificate (if applicable)
- English Translation (of all Japanese transcripts, certified)
English Proficiency
- Eiken Grade 2 Certificate (copy + original for verification)
- TOEFL/IELTS Scores (if available, helpful but not required)
- Previous English Coursework (documentation of English classes taken)
Parental/Guardian Documents
- Parent Passports (copies)
- Proof of Residence (Bangkok address, utility bill or lease)
- Work Permit/Visa (if applicable)
- Guardian Authorization (if student lives with guardian)
Recommendation Letters
- Current Homeroom Teacher (Japanese + English translation)
- English Teacher (Japanese + English translation)
- Optional: Principal/Counselor Letter
Digital Copies Needed
Scan all documents at 300 DPI or higher in PDF format:
- All passports (student + parents)
- Birth certificate
- All transcripts
- All recommendation letters
- Eiken certificate
- Immunization records
- Passport photos (digital format)
Application Portal Preparation
Information You'll Need to Provide
- Student's full name (English + Japanese)
- Date of birth and place of birth
- Current school name and address
- Previous schools attended (with dates)
- Extracurricular activities list
- Languages spoken (proficiency levels)
- Emergency contact information
- Medical conditions or learning needs
- Preferred start date (August 2025 or January 2026)
Parent/Guardian Information
- Full names (English)
- Occupation and employer
- Email addresses (check regularly)
- Phone numbers (Thai + Japanese)
- Current address in Bangkok
- Emergency contacts
Notes & Tips
Document Organization
- Keep all documents organized in both physical and digital formats
- Most schools prefer digital uploads during application
- Schools may request originals during interviews or enrollment
- Create backup copies of all scanned documents
Translation Requirements
- All Japanese documents must have certified English translations
- Find certified translators early (budget 15,000-25,000 THB)
- Transcripts and recommendation letters are highest priority
- Keep both original and translated versions together
Application Portal Best Practices
- Use a dedicated email address for applications (check daily)
- Save login credentials securely for each school portal
- Complete applications in draft mode before submitting
- Double-check all information before final submission
- Keep copies of submitted applications
